Full Time / 1.0 FTE
Executive Assistant: Anticipate needs, take action, and resolve issues on behalf of the CEO/CFO. Maintain high level of addressing and prioritizing multiple/competing projects. Maintain high level of self-direction and organizational skills. Maintains confidentiality and discretion pertaining to all communication and documents. Manage calendars, emails, and correspondence/documents for CEO/CFO/Board of Commissioners. Prepare/Prioritize required signatures, reports, meeting packets, etc., in advance of daily events. Develop Agendas and take minutes at management, Executive, and Board of Commissioner meetings. Provide support in preparing for strategic/project planning meetings and events. Coordinate and maintain security of Administrative policies and files. Develop/maintain documents for house-wide publication; Strategic Plans, Organizational Chart, Administrative Call Schedule, Department Directories, Management Council Outlook, Distribution, Management Shared Drive, House-wide Meeting Directory, etc, Coordinate travel for all hospital staff. Maintain receipts and reconcile against company credit card. Assist CEO/CFO Direct Reports, including onboarding and orientation. Proficient in Outlook, Word, Power Point, and Excel. Provides limited Notary services for staff, providers, and patients.
Board of Commissioners: Manage Hospital and District Board and Board Committee meetings; e.g., room set-up, public attendance, special speakers, packet of development, minute taking, retention of documents, et,, Track Commissioners’ hours, create and submit timecards for payment. Establish annual/monthly calendars for Board meetings/events. Coordinate travel for Board of Commissioners.
Public Records Officer: Ensure RCW requirements are met for the Open Public Meetings Act and Public Records Request for both the Hospital and Board of Commissioners. Ensure Public Records Request policies, forms, template letters, and tracking logs are current and written to RCW requirements. Ensure deadlines are being met according to RCW requirements. Responsible to Compose and produce correspondence and records of request. Provide education as needed to Leadership, Board of Commissioners, and staff.

Job Requirements: 5 years’ experience supporting Executive Leadership; High degree of confidentiality and discretion; Ability to learn/assume the role/responsibilities of Public Records Officer position in abbreviated amount of time; High capacity to anticipate, problem-solve, take action, and resolves issues; High capacity to address and prioritize multiple/competing projects; AA or BS preferred.
